ACIBC Action Days

A Trusted Technology Partner to Weber Shandwick for Three Consecutive Years

For three consecutive years, VIVO360, Inc. (VIVO) has partnered with Weber Shandwick to support ACIBC Action Days with seamless event registration and digital technology. From attendee registration and payments to reporting, customer support, and ongoing technical management, VIVO works as an extension of the agency team to deliver a reliable, streamlined event experience.

The Partnership

When a global communications agency needs a specialized partner, that partner must do more than deliver excellent work. It must integrate seamlessly with the agency team, understand the end client’s objectives, meet deadlines, protect the client relationship, solve problems quickly, and perform consistently.

For more than four consecutive years, Weber Shandwick has turned to VIVO360, Inc. (VIVO) to provide registration and event technology support for its client, the Aircraft Carrier Industrial Base Coalition (ACIBC), and its annual Action Days event.

The longevity of the relationship demonstrates something central to VIVO’s approach: we know how to work behind and alongside major agency partners while delivering directly against their clients’ needs.

The Challenge

ACIBC Action Days requires a reliable digital infrastructure to manage months-long registration process leading to a multi-day event. The technology must provide attendees with an intuitive registration and payment experience while giving Weber Shandwick and ACIBC the administrative tools, reporting, technical support, and customer service required to manage the event.

For each year’s engagement, registration opens six months in advance of the event. VIVO is engaged to manage this critical component of the attendee experience.

The VIVO360, Inc. Solution

Working as an extension of the Weber Shandwick team, VIVO provides an integrated event registration solution encompassing:

Digital Experience & UI/UX
VIVO designs, develops, hosts, and maintains the ACIBC Action Days registration website, creating a responsive attendee experience incorporating current event branding, imagery, and content.

Registration Technology
VIVO configures and manages the registration platform, which for the 2027 event is designed to support up to 400 attendees and multiple registration categories and pricing periods.

Payment Infrastructure
VIVO manages secure credit card and ACH payment capabilities along with attendee confirmations, downloadable tickets, receipts, and reminder communications.

Attendee Customer Support
VIVO serves as an operational extension of the event team, providing telephone and email assistance for registration questions, payment inquiries, tickets, receipts, cancellations, refunds when applicable, and other attendee needs.

Reporting & Administration
VIVO provides recurring registration and payment reports, increasing reporting frequency as the event approaches and producing additional reporting when requested.

Security & Data Management
The platform incorporates encrypted data transmission, role-based access controls, secure cloud hosting, and PCI-compliant payment processing. VIVO does not retain attendees’ full payment-card information.

Built to Work Inside a Major Agency Ecosystem

One of the most important aspects of this engagement happens behind the technology. VIVO operates within an established agency-client relationship.

That means understanding roles, communicating efficiently, responding quickly, maintaining high standards, and making the agency partner’s job easier—not adding another layer of management.

VIVO’s integrated team includes executive leadership, project management, UI/UX design, web development, and customer support. For Weber Shandwick, this creates a specialized partner capable of taking ownership of a defined workstream while collaborating with the broader account team.

Three Years of Repeat Engagement

Perhaps the clearest measure of the relationship is simple:

Weber Shandwick has continued to engage VIVO for this work for more than Three consecutive years.

In a partner relationship, repeat engagement matters. It reflects VIVO’s ability to understand the assignment, work effectively within the agency structure, maintain continuity from year to year, and provide the technology and operational support necessary for a recurring client program.

For each Action Days engagement, VIVO’s responsibilities extend from registration launch through the conclusion of the event and include ongoing monitoring, maintenance, technical support, reporting, customer service, and project management.

Why It Matters

A trusted partner to a major agency
We integrate into larger agency teams and take ownership of specialized capabilities when additional expertise or capacity is required.

A reliable steward of the end-client experience
Although VIVO works through Weber Shandwick, every registration page, payment interaction, confirmation, support request, and attendee communication ultimately affects ACIBC’s brand and its stakeholders. That requires the same level of care we would bring to a direct client relationship.

The VIVO360, Inc. Difference

VIVO gives large agencies access to an experienced, agile partner that can bring together strategy, creative, technology, operations, customer experience, and project management without requiring the agency to assemble multiple specialty vendors.

For ACIBC Action Days, that has translated into a partnership that has continued for more than three years.

When a global agency needs a partner it can trust with a critical piece of the client experience, VIVO is built to step in, integrate and deliver.
